Why You Should Keep a Backup of Your Files in Box

Where do you keep backups of your files? Hopefully, you have at least one backup, but it’s ideal to have two or three. At the very least, you need an external hard drive to serve as an offline backup should your computer’s hard drive fail. 

However, you’ll find it far more convenient to have an online backup that you can access from anywhere.

Out of all the cloud-based file storage programs available, Box is one of the best. If you haven’t checked it out, here’s why you should.

1. You can get a free account

If you don’t need a ton of file storage space, you can get along just fine with a free personal account. You’ll get 10 GB of storage space and you can upload files as large as 250 MB.

Even if you have more than 10 GB to upload, try a free account first to see what it’s like. If you like the service, you can always upgrade your account when you reach your upload limits.

2. HIPAA-compliant security

It’s rare to find a cloud-based file storage platform that is compliant with various data protection regulations, like HIPAA and GDPR. If you’re regulated by an agency that dictates specific data storage requirements, Box is a great solution.

Box offers a high level of security, including regulatory agency compliance, plus granular permissions so you can share files with people, even when you don’t want them to have permanent access. For instance, you can create links that expire.

Box uses AES 256-bit encryption to protect your files on the server. Although Box doesn’t offer end-to-end encryption, you can get it with an add-on. Just in case someone obtains your login credentials, you can enable two-factor authentication to protect your account further.

Your other option is to pay a software development team to create a custom file storage platform from scratch. You can expect to pay several thousand dollars for that kind of custom work, and even so, you won’t get all of the features and conveniences offered by existing platforms.

4. Useful integrations

Storing your files in the cloud is great, but Box is more than just a file storage platform. You’ll get useful integrations with popular applications, like Office 365, Google Workspace, and Adobe Creative Cloud, just to name a few.

These integrations make collaborating even easier. For example, you can access your Google Docs through your Box account and you can edit them from Box. This eliminates the need to open multiple browser tabs.

Another cool integration is being able to apply an electronic signature to a PDF document inside your account. With this feature, you can securely upload a contract to Box, send the link to a client, and they can sign the contract without downloading it first.

5. Excellent team management features

When you’re managing a team, you need to keep an eye on who’s editing documents, uploading files, and collaborating on certain projects. This is easier to achieve by controlling access, and that’s easy with Box.

You can get multiple user accounts with Box, so each of your employees will have their own login credentials. On the administrative side, you can control which users have access to which folders. You can even control access permissions on individual files if needed.

If there is any suspicious activity, you can review the admin logs to find out who uploaded a file, the uploader’s IP address, and you can even get notifications when certain folders or files are accessed.

6. User-friendly interface

Whether you use an Android, Apple, or Windows device to access Box, the entire setup is user-friendly. The menus are simple, as they should be, and it’s easy to navigate. The user interface is intuitive, which adds to its user-friendly nature.

7. Local machine integration

Perhaps one of the most convenient features Box has to offer is seamless integration with your local machine’s finder system. You can add your Box account to your local finder windows, so it will come up in the list of connected devices.

Once your account is integrated with your machine, you can browse files and folders, download them, and upload them all from your computer. Sometimes opening a browser is inconvenient, so it’s nice to have the option to manage your files from the finder window.
